What does an applicant tracking system actually parse

An applicant tracking system can parse documents and organize applicant information, but there is no single universal algorithm that assigns every resume an objective hiring score.

Separate parsing from ranking

An ATS may extract fields such as name, contact details, experience, and education from an uploaded document. Some systems offer searching, screening questions, or employer-defined workflows. It is inaccurate to treat every vendor’s software as one standardized black box or to promise that a formatting trick unlocks a guaranteed passing score.

The employer’s choices matter. A team might rely on eligibility questions, human review, structured application fields, or a variety of integrations. When someone says a resume “fails ATS,” ask whether the problem is unreadable text, a mismatch with job requirements, incomplete fields, or an employer rule.

Check extraction before trying to optimize

Export a copy of your resume to plain text, then inspect whether employers, dates, roles, and bullets appear in sensible sequence. If a complex visual table causes years to detach from employers, it is worth simplifying. This is a practical readability test, not proof of what every commercial parser will do.

Keep conventional headings where they clarify meaning. A section labeled Experience is easier for readers to recognize than an inventive name that hides the employment history. Readability benefits people as well as software, and accurate descriptions are more valuable than repeated buzzwords.

Understand keyword overlap responsibly

A job description can help identify legitimate skill vocabulary, but using every repeated word is not a valid goal. If a posting asks for stakeholder negotiation and experiment design, show specific decisions and experiment evidence when you have it. If you do not, adding those phrases would misrepresent your background.

A text-based overlap check can expose missing terminology or forgotten examples. It cannot determine your actual qualification, hiring odds, or final employer screening decision. The real question is whether you can demonstrate an honestly relevant capability and whether the resume makes that evidence easy to find.

Consider application fields and screening questions

Even a well-structured resume may accompany manually entered experience, work authorization, location, or eligibility answers. These are separate from document parsing. Do not assume rewriting a resume bypasses required questions or an employer’s stated conditions. Enter facts truthfully and review them before submission.

If two applicants receive different outcomes, differences could involve timing, selection requirements, reviewer judgment, or many other factors. Do not infer a proprietary ranking formula from one anecdote. Seek feedback where available and improve the evidence you control.

Use a graduated evaluation

Begin with a simple readability and evidence map; then review alignment to the actual job; finally use a dedicated product’s documented assessment with its stated methodology. Our on-site ATS readiness tool is only a preliminary check and does not generate a real ATS score.

For a role-specific assessment, Princive Fit Check operates inside the app. A person should still inspect what an assessment measures before treating any numeric result as decisive. Matching text is not the same as proving readiness for a job or predicting a recruiter’s decision.

Run a transparent text-extraction experiment

Create a duplicate resume without personal identifiers, export it as plain text, and inspect the sequence of job titles, employers, and dates. Then move one design-heavy section into simpler paragraphs and repeat the export. Document which pieces changed and whether a human reading the extracted version would understand the same history. This is a test of your own file and software, not a controlled experiment across every applicant tracking system.

Next compare the clean text with one job description and mark each relevant phrase as supported, unclear, or unsupported by the underlying experience. Add only genuinely supported examples. You have now separated the layout problem from the evidence problem, which helps avoid the misleading idea that a resume can be fixed merely by chasing a mysterious universal ATS score.
